Focused pilot service

Inquiry intake & routing

Give incoming requests a clear path: validated details, a classification suggestion, a human decision, and an organized business record.

Who it is for

Small and growing B2B businesses, professional service firms, and operations teams handling repeat inquiries across forms, inboxes, and a CRM.

  • You can point to one repeat intake process.
  • Your team has a named person to review new requests.
  • You can authorize the source data and required tool access.
  • You want a focused pilot with observable acceptance criteria.

THE PILOT SCOPE

Start with one channel and one handoff.

01

Map the current process

Identify the intake source, required fields, routing rules, review owner, and the next system of record.

02

Build a focused prototype

Validate incoming details and produce a classification or routing suggestion. Choose rules or an AI step according to the task and approved data handling.

03

Define the review point

A person can confirm or correct the category and owner before the record is saved. Ambiguous or sensitive requests move to a review queue.

04

Connect and hand over

Verify an agreed integration, test exceptions, and document how to operate and maintain the workflow.

What you receive

  • A workflow map and scoped acceptance checklist
  • Required-field validation and a standard record format
  • Classification rules or an agreed AI adapter
  • A human review interface and escalation path
  • One agreed record destination, subject to supported APIs
  • Test evidence, operating instructions, and handoff documentation

How we check it works

  • Incomplete or invalid input is rejected with a useful message.
  • Classification is presented as a suggestion with a visible explanation.
  • No record is finalized before explicit human approval.
  • Corrections to category and owner are preserved.
  • A saved record has a stable reference and can be read back.
  • Duplicate approval does not create a second record.
  • Rejected requests have a visible status and no approved record.
  • Failures are visible; an unavailable destination never produces a false success.

PROJECT STRUCTURE

A clear scope before a project quote.

Pricing is custom-quoted. Discovery, implementation, third-party usage, and optional support are identified separately before work starts. No unconfirmed fixed price or free consultation is advertised.

  1. Agree on the pilot and acceptance criteria
  2. Quote the defined implementation
  3. Scope optional support separately

Scope boundaries

  • No promised revenue increase, conversion rate, or delivery timeline.
  • No automatic outbound email or bulk prospecting in the pilot.
  • No unrestricted account changes, deletions, or sensitive decisions.
  • No replacement of an entire CRM, subscription billing, or customer portal.
  • Additional channels, AI usage costs, and maintenance need separate scope.

BEFORE WE START

A few good questions.

Is every step powered by AI?

No. Required-field checks, permissions, record storage, and approval are deterministic. AI is useful only where interpretation is needed and has been evaluated.

Does the demo connect to a real CRM?

It saves and reads actual local prototype records. It does not connect to a cloud CRM or send email. A production destination is scoped and verified separately.

What should we provide for scoping?

A process description, your current tools, required fields, review owner, permitted data, and a few representative examples. Do not submit passwords or customer records through this website.
