From inquiry inbox to CRM: a workflow for service businesses

Define capture, ownership, duplicate handling, and human review before automating your customer inquiries.

Agree what a usable inquiry looks like

A message can arrive by website form or email and still be missing the information needed for a useful reply. Define the minimum record: a reply address, the requested service, enough context to understand the need, and an owner for the next step.

Keep the original message alongside the structured fields. A summary is useful for scanning, but the reviewer should be able to check the customer’s actual wording.

Separate extraction from decisions

AI can turn a long message into a brief and suggest a category. Fixed rules can validate an email address, map a category to a team, or check required fields. Give each step a specific job.

Do not treat a confident classification as permission to send a quote. A person should confirm scope, missing information, and any commercial commitments before a customer-facing response goes out.

Decide how duplicates and missing details are handled

The same customer may submit a form and then send an email. Decide whether to append the message to an existing record or create a new inquiry. Customer identity and individual sales opportunities are not always the same thing.

For missing details, show what is missing and who needs to follow up. An unassigned record is a visible task to resolve, not a successful automated handoff.

Make the CRM write observable

Before an approved record is written, verify the destination, field mapping, and access permissions. After the write, store the destination reference so staff can open the CRM record directly.

Plan for an unavailable CRM and a repeated submission. Retries should not create duplicate opportunities. If the integration cannot finish, keep a clear error state and a manual recovery path.

Measure the work that changed

Useful measures include time to first human review, minutes spent entering each record, unassigned inquiries, and duplicate corrections. Keep the definition and measurement period consistent when comparing the old and new process.
